Field Description
Attachment Status This is the family status of a document, it could be one of 4 things: "Freestanding", "Parent", "Parent and Child", and "Child"
Attached To The Control Number for the document that the current document is directly attached to. This will often be the Group Identifier, although not always the case due to embedded families.
Batch This field links the document to a batch or batches. This link also exposes access to the information about which batch set the batch belongs to, who is assigned the batch, and the status of the batch.
Control Number The unique identifier of a document. Use this number in all correspondence so that the document can be easily located.
Custodian This is the custodian of the document. As standard we don't store information on any other custodians who had the information, but if you need this please contact Anexsys.
Date Created This is the date created for a document. This is unlikely to be populated for email files, but could have a value for most other file types.
Date Email Received This is the date an email was received. This should only be populated for Email files.
Date Email Sent This is the date an email was sent. This should only be populated for Email files. If this date exists this would be the value used for the Primary Date
Date Last Accessed This is the date a document was last accessed. This is unlikely to be populated for email files, but could have a value for most other file types.
Date Last Modified This is the date a document was last modified. This is unlikely to be populated for email files, but could have a value for most other file types.
Date Last Printed This is the date a document was last printed. This is unlikely to be populated for email files, but could have a value for most other file types.
Docs_Languages::Language If Langauge Identification Analysis has been run on the Data, this field will be populated with any Languages that have been detected within the Documents.
Document Author This is the creator of the document. This value should equal the Primary Creator for non email files
Document Page Count This is the number of pages in a document. This field is only available for certain document types, such as PDFs
Document Title This is the title of a document as taken from the metadata. This will be unpopulated for many documents, as there is not all file types have a title, and it is not a required piece of information for any documents. File
Document Type The MIME type of a document. This is the most specific type we have for documents, and often includes the product name that uses the file
Document Type Group This is the high level group that a document belongs to. E.g. "Email" or "Spreadsheet"
Domains(All/BCC/CC/From/To) If domain parsing has been performed on the data, these fields will contain the Domains of the emails found within their counterpart Email Fields.
Email All This field is a concatenation of all of the Email fields for senders and recipients: Email From, Email To, Email CC and Email BCC
Email BCC The contents of the BCC field in an email
Email CC The contents of the CC field in an email
Email From The contents of the From field in an email
Email Conversation Index This is a unique identifier for an email. A first email chain will have a Conversation Index of 44 characters - each subsequent email in the chain will append more characters to the Conversation Index of the email it follows. As all emails in a chain have the same first 44 characters to start the Conversation Index this is known as the Thread ID, and can be used to group emails together.
Email Importance This is the importance of an Email, as set by Outlook.
Email Recipient Count This is the number of email addresses included in the Email To, Email CC and Email BCC columns.
Email Recipients This is a combination of all the data stored in the Email To, Email CC and Email BCC fields.
Email Subject The Subject of the email
Email To The contents of the To field in an email
Extracted Text Text contained within a file that was detetced by processing software. dtSearches can be run over the contents of this field.
File Extension (Original) The application's file extension e.g. .doc or .docx for Microsoft Word documents. Useful when searching for specific file types. Consider using the "Document Category", "Document Type" and "Document Type Group" fields.
File Extension (Corrected) The correct file extension as detected by Anexsys' processing software
File Size (bytes) This is the file size of the document, in Bytes.
FileIcon This is an icon which represents the type of file.
Filename This is the filename of the document, including the file extension.
Folder Name This is the name of the folder in which the document resides in.
Group Identifier This field denotes the family of a document. The parent and all children will share the same Group Identifier, which is the Control Number of the parent document. If a document is freestanding it will have it's own Control Number as a Group Identifier still.
Has Images This shows if the document has been imaged. A document needs an image to be printed straight from Relativity, or for redactions.
Has Native This shows if there is a native version of the document available. The viewer will not be available for documents without a native file - you will only be able to view extracted text or images.
Has Translations Indicates whether a Document has a provided translation
Is Email A field containing either a 'Yes' or 'No' value
MD5 Hash This is a hash that has been computed on a document to allow us to remove duplicate documents.
OCR Results This shows the OCR results, which documents have been OCR successfully and which documents have errored.
OCR Text This is the results of our OCR on the document. This will be included within the text index, if present, and can be viewed in the viewer by selecting the text drop down at the top.
Primary Creator For e-mails, this will be the sender and for all other document types, the author (if this exists - for Office documents only).
Primary Date For e-mails, this will be the date the e-mail was sent, and for other documents, it will be the last modified date, otherwise if this is not available, the date the file was created. All times are in Greenwich Mean Time (GMT) unless agreed otherwise with your Anexsys case manager.
Primary Document Name For e-mails, this will contain the e-mail subject, and for other documents, this will be the filename.
Primary Family/Sort Date This will be the "Primary Date" of the top level parent item (if the document is a top level parent, this date will match it's own "Primary Date"). This is the default ordering criteria, as it sorts documents by date, while keeping them in their family. All times are in Greenwich Mean Time (GMT) unless agreed otherwise with your Anexsys case manager.
Primary Language This is the main language used throughout the document as determined by our processing software
Production Errors This field stores any errors which may have occurred when producing a document in relativity.
Relativity Image Count This field stores the number of images a document has attached to it. This is also the page count of a document as it has a single image per page.
R_1stPass_Relevance This stores any first pass decision on relevance made by the reviewers
R_1stPass_Issues This is a multiple choice field for marking issues to which a document is relevant at first pass. More choices can be added as necessary
R_1stPass_Comments Any first pass comments on a document from reviewers will be stored here.
R_1stPass_Privileged/Confidential The decision on a document's privilege or confidential nature at first pass by a reviewer is stored here.
R_2ndPass_Relevance This stores any second pass decision on relevance made by the reviewers.
R_2ndPass_Issues This is a multiple choice field for marking issues to which a document is relevant at second pass. More choices can be added as necessary.
R_2ndPass_Comments Any second pass comments on a document from reviewers will be stored here.
R_2ndPass_Privileged/Confidential The decision on a document's privilege or confidential nature at second pass by a reviewer is stored here.
R_DocumentIssues This is a multiple choice field that stores any issues with a document during the review. E.g. foreign language, encrypted, etc.
System Created On The date and time the document was loaded into the workspace on Relativity. Not to be confused with document-related date metadata e.g. Primary Date or Date Created.
